The BVI Health Services Authority (a client-centered healthcare organization) invites qualified and professional applicants to apply for the position of Office Manager (Support Services). The primary function of the Office Manager is the management of the daily operations of the Director of Hospital Services. This includes the organizing of all budget and reporting functions of the department and its units as well as coordinating of the monthly and annual reports. This office manager provides administrative support in the Implementation of the Strategic Plan and to the Director of Hospital Services/Chief Operations Officer.

Primary Responsibilities

The ideal candidate will serve as an Office Manager supporting the smooth operation of the organization by managing budgets, monitoring expenditures, and preparing financial reports. They will coordinate and chair meetings, take minutes, and follow up on action items, ensuring effective communication across departments. They will maintain calendars, schedules, and contact information for senior management, particularly the DHS/COO, and assist in organizing committee meetings. Additionally, they will oversee data collection, analysis, and reporting to support strategic planning and decision-making, while providing training and support to staff on data and health information systems. The candidate will also handle secretarial duties, prepare reports, and ensure timely completion of departmental and organizational objectives, contributing to the overall efficiency and strategic goals of the organization.

Qualification and Experience

The successful candidate will possess an executive diploma or associate’s degree in secretarial training, office management, or a related field, with a higher qualification such as a bachelor’s degree in business administration preferred. They will have at least five years of experience in an administrative or supervisory role, demonstrating strong leadership and organizational skills. Certification in CPR is required, and the candidate must be adept at handling confidential information, managing staff, and working independently with initiative. Excellent communication, networking, and client relationship management skills are essential, along with the ability to adapt to a dynamic healthcare environment. The candidate should be detail-oriented, efficient, and capable of preparing accurate reports, managing processes, and working well within a team. A comprehensive understanding of organizational structure, rules, and effective interpersonal skills are vital for success in this role.

Job Summary

Salary Range:

$36,072.00 – $52,520.00 per annum
